1. Introduction

Welcome to Conference Companion ("the App"). By downloading, installing, or using the App, you agree to be bound by these Terms & Conditions. If you do not agree with any part of these terms, please do not use the App.

2. Service Description

Conference Companion is a productivity app designed for conference and networking events. The App provides features including voice-based note capture, badge/business card scanning (OCR), meeting management, CRM integration, and AI-assisted follow-up email generation.

3. Eligibility

You must be at least 16 years old to use the App. By using the App, you represent that you meet this age requirement.

4. Account & Access

• You are responsible for maintaining the confidentiality of your account credentials.
• You are responsible for all activity that occurs under your account.
• We reserve the right to suspend or terminate your access at any time for violations of these terms.

5. Subscriptions & Payments

• Conference Companion offers free and paid subscription plans.
• Paid subscriptions are billed monthly or annually, as selected at purchase.
• Payments are processed through Apple's App Store. Apple's terms of service apply to all transactions.
• Subscriptions auto-renew unless cancelled at least 24 hours before the end of the current period.
• Refunds are handled by Apple in accordance with their refund policies.

6. Promotional Codes & Discounts

• Promotional access codes (e.g., event-specific codes) provide temporary free access to certain features.
• Promotional access is time-limited and subject to the terms specified with each promotion.
• After promotional access expires, your data remains accessible in read-only mode. Full access can be restored by subscribing to a paid plan.

7. Your Data

• You retain ownership of all content you create in the App (notes, contacts, recordings).
• We process your data solely to provide the services described. See our Privacy Policy for details.
• Voice recordings are processed temporarily for transcription and are not permanently stored on our servers.
• You can export or delete your data at any time through the App settings.

8. AI-Powered Features

• The App uses AI services (including OpenAI) to generate note summaries, extract contact information, and draft follow-up emails.
• AI-generated content is provided as suggestions and should be reviewed before use.
• We are not responsible for the accuracy or appropriateness of AI-generated content.
• Your data processed by AI services is subject to the respective provider's terms and our Privacy Policy.

9. CRM Integration

• The App can integrate with third-party CRM systems (Salesforce, HubSpot, etc.).
• CRM integrations require you to authenticate with your CRM provider.
• We are not responsible for data loss or errors that occur during CRM synchronization.
• CRM integration is subject to the terms of service of the respective CRM provider.

10. Acceptable Use

You agree not to:

• Use the App for any unlawful purpose.
• Record conversations without the consent of all parties (where required by law).
• Attempt to reverse-engineer, decompile, or disassemble the App.
• Use the App to store or transmit malicious code or harmful content.
• Share your account with others or resell access to the App.

11. Intellectual Property

The App, including its design, code, and branding, is the intellectual property of Conference Companion. You are granted a limited, non-exclusive, non-transferable license to use the App in accordance with these terms.

12. Disclaimer of Warranties

The App is provided "as is" without warranties of any kind, express or implied. We do not guarantee that the App will be error-free, uninterrupted, or meet your specific requirements.

13. Limitation of Liability

To the maximum extent permitted by applicable law, Conference Companion shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or revenues, whether incurred directly or indirectly.

14. Changes to Terms

We may update these Terms from time to time. We will notify you of material changes through the App. Continued use of the App after changes constitutes acceptance of the new terms.

15. Governing Law

These Terms are governed by and construed in accordance with the laws of the Netherlands, without regard to its conflict of law provisions. Any disputes shall be resolved in the courts of Utrecht, the Netherlands.
